Investment Operations Administrator
The Investment Operations Administrator will be responsible for assisting the Operations and Wealth Manager Teams with tasks related to client onboarding and maintenance including account openings, terminations, and client billings. Colleague will report directly to the manager of the Investment Operations Team at Citizens Private Wealth.
Primary responsibilities include
- New client onboarding and tracking, including preparation of Letters of Engagement, Courtesy Letters, PIF submissions and approvals, Add Sheets, Salesforce entries
- Review and submit applications to open accounts, including tracking progress, and resolving any issues with custodians
- Monitor shared email inbox requests
- Client terminations, including final fee calculations, preparation of Termination Packages, and Delete Sheets
- Review initial fee schedules set-ups and changes to client fee agreements
- Review and verify accuracy of quarterly invoices in accordance with clients’ fee agreements
- Debit fees from clients’ investment accounts and maintain list of clients’ fees accounts
- Track and monitor quarterly fee debits schedule and outstanding fees; follow up with appropriate individuals/teams when needed
- Review and reconcile daily fee payments
- Process credits and reversals to clients’ accounts due to duplicate payments, overpayments
- Work with Bookkeeper to research and resolve any discrepancies on AR Report
- Gather documents for audits and other quarterly reviews
- Assist with ad hoc projects related to the above tasks
- Scan/file documents into electronic filing system, CabinetSAFE
Qualifications
- Must possess and display excellent organization and communication skills
- Excellent time management and prioritization skills
- Ability to handle high volume of onboardings, billings, and debits each month/quarter
- Strong attention to detail
- Follow up and monitoring of time sensitive tasks
- Must have knowledge of Outlook, Word, and Excel and ability to learn new programs
- Ability to work with numbers and calculate fees using a tiered fee structure
- Must be able to work independently and as a team
- Need to be able to take initiative
- Financial/banking background preferred
- Accounts receivable / Bookkeeping experience preferred
Education, Certifications and/or Other Professional Credentials
- College degree preferred

- Hours per Week: 40
- Work Schedule: M-F
Pay Transparency
The salary range for this position is $22.58 - $33.87 per hour. Actual pay is based on various factors including but not limited to the work location, and relevant skills and experience.
