Job Summary:

The University InformationTechnology (UIT ) Customer Experience group seeks an Information Technology Manager for the Hatfield Marine Science Center (HMSC ) in Newport Oregon. This is a full-time (1.00 FTE ),12-month, professional faculty position.

The HMSC IT Manager serves as the liaison between Hatfield Marine Science Center (HMSC ) and Oregon State University Information & Technology (UIT ) and is responsible for providing consultation and training regarding the planning, development, testing, implementation and managing of information technology needs of HMSC . Research support is of particular importance to this role. The incumbent is expected to ensure coordination and management of customer service, equipment, IT facilities and IT operations. The manager also provides direct consultative support and training to students, staff, and faculty on information technology-based systems and solutions.

This position is also responsible for the daily operations of the HMSC IT team.

This position reports to the Director of UIT Customer Experience (CX). CX is a team within UIT’s Business Architecture unit.

HMSC is OSU’s 49-acre coastal research campus that has operated in Newport for 62 years. The
greater Hatfield enterprise employs over 410 professionals, and hosts over 460 students. Hatfield’s annual economic impact to the coast is $52 million, $25 million representing ‘core’ operations funding, and $27 million in competitive grants, and, through this research enterprise, it provides undergraduate and graduate students with hands-on research opportunities and experiential instruction. HMSC also supports K-12 STEM education programs (~35K students per year) and public outreach through programming in our Visitor Center (~ 150,000 visitors per year). In addition to Oregon State University personnel, HMSC is an oceanographic research base for 5 state and federal agencies working in the marine sector: NOAA , EPA , USF &W, USDA , and ODFW ). With its world-class facilities, research activities, academic programming, and innovative environment, HMSC has wide-reaching relationships with industry, community government, policymakers, formal and informal education networks, Non-Governmental Organizations, and partner universities.

The HMSC IT Manager will ensure the unique IT needs of HMSC are successfully met.

Key Responsibilities

Research IT Support and IT Coordination (40%)

• Serve as a liaison between HMSC and all UIT departments to effectively fulfill customer requests and deliver appropriate technical solutions, leveraging existing OSU technology offerings whenever possible.
• Meet regularly and coordinate with HMSC Associate Vice President’s Office, department admins, HMSC facilities, HMSC Visitor Center, and other HMSC stakeholders.
• Coordinate employee onboarding and offboarding with HMSC Associate Vice President’s office and UIT .
• Acts as a consultant for IT challenges faced by researchers. Works closely with the UIT Digital Research team, outside agencies, vendors, etc. to meet research IT needs. Provides project management as needed.
• Maintains expert knowledge and experience with a variety of desktop operating systems, including Windows, macOS, and Linux.
• Serves as subject matter expert for technical issues facing HMSC .
• Escalates unresolved problems to appropriate UIT team.
• If workload allows, applies skills and knowledge in a similar capacity to areas beyond HMSC to serve the interests of UIT as needed.

Management of HMSC IT Team (20%)

• Manage HMSC on-site IT staff, including IT Consultant and/or Equipment Systems Specialist. May also manage student IT technicians. Provides supervision, direction, and leadership for the team. Recruits, hires, trains, supervises, and evaluates employees. Responds to grievances and resolves disputes. Creates and fosters a positive, team-oriented, customer-service focused team. Develops, assigns and approves work, work procedures, and timelines.
• Monitors ticketing queues, prioritizes and assigns work as needed.
• Ensures that information is documented and delivered accurately and efficiently with a focus on excellent customer service.
• Works closely with members of the UIT Customer Experience team.
• Keeps users informed of any system-wide problems or scheduled down times.

Customer Service and Technical Support (20%)
As part of an on-site IT team, provides the following:

• On-site urgent support for classroom technology, in coordination with UIT Academic Technology.
• On-site meeting room support, including training walk-thrus with presenters, and in coordination with UIT Academic Technology.
• On-site after-hours event support, pre-scheduled and as needed.
• On-site computer and printer setup, troubleshooting, upgrades, repairs, and software installs, in coordination with UIT Customer Experience.
• Coordinate with OSU Surplus for removal of defunct computer equipment.
• Install/replace phones as needed, in coordination with OSU Telecom.
• On-site network troubleshooting and equipment replacement, in coordination with UIT Network team.
• After-hours response for widespread network/phone issues, in coordination with UIT Network team.
• After-hours response for issues with critical IT systems that support HMSC facilities.
• Coordination and consultation with HMSC Facilities and outside contractors to provide remote access to facilities equipment.
• Coordination and consultation with HMSC Visitor Center and outside contractors/volunteers to provide network access to Visitor Center equipment.
• Coordination and consultation with OSU Ship Ops and outside agency partners collocated on the HMSC campus.

Works as a member of Business Architecture’s CX team (20%):

• Works closely with Service Desk team to ensure efficient escalation of tickets and sharing of information. Stays current with Service Desk processes and procedures.
• Identifies issues that cross team boundaries and facilitates resolution of those issues.
• Assists the Director and management team in developing, implementing and enforcing operational policies regarding HMSC .
• Coordinates with the Director and management team in the formulation, support, and implementation of mid- and long-term CX goals.
• Communicates issues that affect the CX team to the Director, and, if appropriate, to other members of the CX team.
• Coordinates with other units within UIT .

What You Will Need

• Bachelor’s degree in Computer Science or related field, or equivalent combination of education and experience
• 2 years experience providing IT support
• 2 years experience in management or providing supervisory/lead work responsibilities in information technology related field.
• Demonstrable ability to foster an effective work environment that encourages teamwork and employee growth. Ability to recruit and manage multiple staff.
• Knowledge and experience with a variety of desktop operating systems, including Windows, macOS, and Linux, experience with mobile operating systems, and experience with a wide range of software applications including Microsoft Office, anti-virus, and software utilities.
• Effective communication skills, excellent interpersonal skills.
• Independent problem-solving and decision-making, self-direction, and ability to manage a complex workload.
• Demonstrable track record of success in managing relationships.
• Demonstrable ability to maintain a team-oriented, professional, and cooperative attitude.
• Demonstrable commitment to promoting and enhancing diversity and cultural sensitivity in the workplace.
