Production Coordinator
Position Summary
The Admin/Production Coordinator provides critical support to both administrative operations and production activities. This role ensures smooth daily operations by managing office tasks, coordinating schedules, and assisting with production logistics. The ideal candidate is highly organized, detail-oriented, and comfortable balancing administrative duties with on-the-ground production support. They would work directly under the supervision of the Executive/Creative Director.
Key Responsibilities
Administrative Support
- Manage calendars, schedule meetings, and organize internal/external communications.
- Prepare reports, presentations, and production-related documentation.
- Maintain accurate records, filing systems, and databases.
- Track budgets, invoices, purchase orders, and expenses for projects.
- Serve as the point of contact between staff, vendors, and clients.
Production Coordination
- Assist in planning and executing production schedules.
- Coordinate resources, equipment, and materials needed for production.
- Support production team with set-up, breakdown, and day-to-day operations.
- Communicate with production staff, talent, and crew to ensure workflow efficiency. • Monitor deadlines and deliverables to ensure projects stay on track.
- Troubleshoot logistical and operational issues as they arise.
Qualifications
- Bachelor’s degree in communications, media, business administration, or related field (or equivalent experience).
- 2+ years of experience in administration, production coordination, or related role. • Strong organizational and multitasking skills.
- Excellent written and verbal communication abilities.
- Proficiency in MS Office Suite, Google Workspace, and production management tools.
- Ability to work independently and as part of a team.
- Flexibility to support occasional evening or weekend production schedules.
Preferred Skills
- Experience in media, film, television, or live event production.
- Familiarity with production equipment and workflows.
- Budget tracking and vendor management experience.
- Strong problem-solving and time-management skills.
Work Environment
This position will involve a combination of office-based tasks and hands-on production knowledge support. The Admin/Production Coordinator should have the ability to multi-task, as well as, adaptable to fast-paced and changing work environments. Being bilingual is a plus.
This is a part-time position presently, but can lead to full-time.
Salary range: $25 to $35 hour, based upon qualifications and experience.
