On-the-Field Event Planning & Coordination Assistant
The Event Planning & Coordination Assistant will be responsible for supporting the Head Event Designer during event setup, execution, and breakdown. This role is hands-on, fast-paced, and perfect for someone who enjoys being part of a creative team and thrives in live event environments.
Key Responsibilities
Assist the Head Event Designer with day-of event coordination and logistics.
Oversee vendor check-ins, timelines, and setup areas to ensure everything runs smoothly.
Help with balloon décor installs, staging, and styling of décor pieces.
Manage guest-facing details such as signage, place settings, or event flow.
Troubleshoot unexpected challenges calmly and professionally.
Capture photos/videos of set-up and finished event for portfolio use.
Coordinate breakdown and load-out while maintaining a clean, organized worksite.
Skills & Qualifications
Strong organizational and multitasking abilities.
Excellent communication skills (able to liaise with vendors, staff, and clients).
Flexible, solution-oriented, and quick on your feet.
Eye for detail, symmetry, and design to support décor setup.
Reliable, punctual, and comfortable working under tight event deadlines.
Physically able to lift up to 40 lbs and work on your feet for extended hours.
Weekend and evening availability is required.
Event or hospitality experience is a plus, but training will be provided.
